Job Title: Administrative Staff Assistant 

Job Summary: As an Administrative Staff Assistant to the agency, your primary responsibility will be to provide crucial administrative support to the customer service team, ensuring efficient operations and exceptional service delivery to insurance clients. Your role will involve assisting the customer service manager in various administrative tasks and contributing to the overall success of the department.

Duties and Responsibilities:

  1. Assist the insurance customer service manager with administrative tasks, including managing calendars, scheduling appointments, and handling correspondence.
  2. Respond to customer inquiries promptly and provide accurate information regarding insurance policies, coverage, claims, and other related services.
  3. Collaborate with the customer service team to address customer issues, complaints, or requests, aiming to achieve high levels of customer satisfaction.
  4. Process insurance applications, policy changes, endorsements, and other documentation accurately and efficiently.
  5. Maintain and update customer records in the database, ensuring data accuracy and completeness.
  6. Assist in preparing and distributing customer communications, such as policy renewal notices, billing statements, and other relevant documents.
  7. Support the customer service manager in handling and documenting insurance claims, including gathering necessary information and coordinating with adjusters.
  8. Contribute to identifying areas for process improvement and participate in the development and implementation of new procedures.
  9. Maintain confidentiality and handle sensitive customer information with utmost discretion and professionalism.
  10. Assist in generating reports and analyzing data related to customer service metrics, identifying trends, and suggesting improvements.
Requirements:

  1. High school diploma or equivalent; additional education or certification in insurance or a related field is desirable.
  2. Proven experience in an administrative or customer service support role, preferably within the insurance industry.
  3. Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  4. Excellent communication and interpersonal skills, with the ability to effectively interact with customers and team members.
  5. Proficient in using office software such as MS Office Suite (Word, Excel, PowerPoint) and customer relationship management (CRM) systems.
  6. Detail-oriented and capable of maintaining accurate records and documentation.
  7. Familiarity with insurance policies, coverage, and claims processes is advantageous.
  8. Ability to work independently and collaboratively in a fast-paced environment.
  9. Strong problem-solving skills and the ability to handle difficult customer situations with empathy and professionalism.
